Prepare a focused calling block
Choose one group, such as recent buyer inquiries or people expecting a callback. Review source, contact preferences, previous notes, and outstanding questions. Contact only people you are permitted to call. Choose an outcome and a next action after each conversation; do not measure the session only by dial count.
New buyer inquiry
Start with the request they made and give them an easy way to choose a better time.
Hi [first name], this is [agent] with [brokerage]. You asked about [property or area]. Is now a good time for a quick question about what you’re looking for?
Next step: If yes, ask: “What matters most in your next home?” Then clarify timing and the next useful step. If no, agree on a callback instead of continuing the pitch.
Seller considering a move
Explore the reason for the conversation before proposing a listing appointment.
You mentioned you might sell [property]. What would need to happen for a move to make sense for you?
Next step: Listen for timing, uncertainty, and practical constraints. Offer a next step tied to the answer, such as discussing preparation or reviewing comparable homes.
“I’m just looking”
Treat this as useful information about readiness. A low-pressure response helps you understand what support they actually want.
That makes sense. Would information about [area/pricing/process] help while you explore, or would you prefer to reach out when you’re ready?
Next step: Record the preference. A person who asks for space should not receive an intensified sequence.
“We already have an agent”
Respect the relationship and end the prospecting conversation appropriately.
Thanks for letting me know. I’ll update my notes. Is there anything about your original inquiry that still needs an answer?
Next step: Update the record so another teammate does not repeat the same outreach.
“Call me later”
Replace a vague reminder with an agreed callback.
Of course. What day and time would work, and is this still the best number?
Next step: Confirm the time zone, create the callback, and save the reason for the call. Use that context when you reconnect.
A concise voicemail
Keep it factual and easy to return. Avoid disclosing private information in voicemail.
Hi [first name], this is [agent] with [brokerage], returning your inquiry about [general topic]. You can reach me at [number]. Again, [agent] at [number]. Thank you.
Next step: Record that you left a voicemail. Use another channel only when appropriate for that contact and their preferences.
Close with a clear next step
A useful call ends with agreement, not an assumption.
Based on what you shared, the next step could be [specific action]. Would that be useful? If so, what time works?
Next step: Save the agreed action, owner, and due date. If no action is needed, record that too.
Review the block and improve
Track conversations, agreed callbacks, and appointments separately from attempts. Note which questions helped people explain their goal. In LeadBolt, keep dispositions, notes, and callbacks attached to the contact while you work through a calling list. A power dialer helps organize calling; it does not guarantee more appointments or make every contact appropriate to call.
